This Privacy Policy explains how Exceat Lab ("Exceat Lab," "we," "us," or "our") collects, uses, discloses, and safeguards information in connection with the Dentisim AI Smile Simulator, including our website, embeddable widget, and WordPress plugin (collectively, the "Service"). By using the Service, you agree to the practices described in this Policy. If you do not agree, please do not use the Service.
This Policy applies to three categories of people: (a) dental practices and their staff who license or administer Dentisim ("Practices"); (b) prospective patients who upload a photo or submit contact details through a Practice's deployment of Dentisim ("End Users"); and (c) visitors to our corporate marketing website.
Photo and image data. End Users may upload front, open-mouth, or side-profile smile photographs for the purpose of generating an AI-simulated preview. Lead and contact information. Name, email address, phone number, and any notes submitted through a demo request or lead capture form. Practice account information. Business name, billing contact, license key, and website domain associated with a Practice subscription. Technical data. IP address, browser type, device identifiers, referring URLs, and usage analytics collected automatically through cookies and similar technologies.
Photos uploaded for AI smile simulations are processed transiently in server memory for the duration of the active session required to generate a result. Uploaded images are not written to persistent disk storage and are not retained after the session ends or after a reasonable processing timeout, whichever occurs first. Generated preview images may be temporarily cached to allow the End User to view and download their result, after which they are automatically purged in accordance with our data minimization practices.
We use collected information to: operate, maintain, and improve the Service; generate AI smile simulations; deliver lead notifications and simulation results to the relevant Practice by secure email (SMTP) or, where enabled, Google Sheets integration; respond to demo requests and support inquiries; detect, prevent, and address fraud, abuse, or security incidents; and comply with applicable legal obligations.
Smile image analysis and photorealistic simulation rendering are performed using Google's Gemini multimodal AI models via the Gemini API. Submitted images are transmitted to Google solely for the purpose of generating the requested simulation and are handled in accordance with Google's API data-use terms. We do not permit uploaded patient photographs to be used to train third-party foundation models.
When an End User submits contact information to unlock a simulation report, that information — together with the AI-generated recommendations — is transmitted directly to the licensing Practice via secure SMTP email and, where the Practice has enabled it, an authorized Google Sheets webhook. Practices are independently responsible for how they subsequently store, use, and protect this information under applicable law.
Our marketing website and widget use essential cookies required for functionality, along with limited analytics cookies to understand aggregate usage patterns and improve performance. You can control cookies through your browser settings; disabling certain cookies may affect Service functionality.
We employ industry-standard technical and organizational safeguards, including encryption in transit (TLS), access controls, and session-based ephemeral image handling, designed to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Dentisim is used by dental practices worldwide. Information may be processed on servers located outside your country of residence, including in jurisdictions whose data protection laws may differ from those of your home country. Where required, we rely on appropriate safeguards, such as standard contractual clauses, to protect information transferred internationally.
Depending on your jurisdiction (including under the EU/UK GDPR and the U.S. state privacy laws such as the CCPA/CPRA), you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details in Section 13. We will respond within the timeframe required by applicable law.
The Service is intended for use by adults and dental practice staff. We do not knowingly collect personal information from children under 16 without the consent of a parent, guardian, or licensed practice acting on a minor patient's behalf. If we become aware that we have inadvertently collected such information without appropriate consent, we will take steps to delete it.
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
Questions or requests regarding this Privacy Policy may be directed to Exceat Lab at [email protected] or by phone at +94 76 797 8818.

These Terms of Service ("Terms") govern access to and use of the Dentisim AI Smile Simulator, including our website, embeddable widget, WordPress plugin, and related services (collectively, the "Service"), provided by Exceat Lab ("Exceat Lab," "we," "us," or "our"). By accessing or using the Service, you agree to be bound by these Terms. If you are using the Service on behalf of a dental practice, you represent that you have authority to bind that practice to these Terms.
The Service is intended for use by licensed dental practices, their authorized staff, and prospective patients interacting with a Practice's deployment. Practices are responsible for maintaining the confidentiality of license keys and account credentials and for all activity occurring under their account.
All AI smile simulations, shade-whitening previews, gap-closing renders, and alignment recommendations are generated for illustrative and marketing purposes only. They are computer-generated approximations and do not constitute a dental diagnosis, treatment plan, or medical advice of any kind, and must not be relied upon as such.
No treatment should be initiated based solely on a Dentisim simulation. Any proposed dental or cosmetic treatment must be independently confirmed by a licensed dentist following a comprehensive in-person examination, appropriate diagnostic imaging, and informed consent obtained directly from the patient.
Practices agree to: use the Service only for lawful marketing and patient-engagement purposes; obtain any consents required by applicable law before collecting End User photographs or contact information; not misrepresent simulation output as a guaranteed clinical outcome; and comply with all applicable healthcare advertising and data protection regulations in their jurisdiction.
You agree not to: upload images you do not have the right to submit; use the Service to harass, defame, or impersonate any person; attempt to reverse-engineer, scrape, or interfere with the underlying AI models or infrastructure; or use the Service in a manner that violates any applicable law or third-party right.
Paid plans are billed in advance on a monthly or one-time basis as described at checkout or in your order confirmation. Setup fees, where applicable, are non-refundable once onboarding has commenced. Subscriptions renew automatically unless cancelled prior to the next billing cycle. We reserve the right to change pricing with reasonable advance notice.
Dentisim, its underlying software, branding, and all related visual assets are the exclusive property of Exceat Lab and are protected by applicable intellectual property laws. Subject to these Terms and an active subscription, we grant Practices a limited, non-exclusive, non-transferable license to embed and use the Service on their own website. AI-generated simulation images produced for a Practice's End Users may be used by that Practice for marketing purposes related to its own patients.
The Service relies on third-party infrastructure, including Google's Gemini API for image analysis and simulation rendering, and, where enabled, Google Sheets for lead synchronization. Availability of the Service is subject to the continued availability of these third-party services.
The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that AI-generated simulations will be error-free, uninterrupted, or perfectly representative of any achievable clinical outcome.
To the fullest extent permitted by law, Exceat Lab shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or goodwill, arising out of or related to your use of the Service, even if advised of the possibility of such damages. Our aggregate liability arising out of these Terms shall not exceed the fees paid by the Practice to Exceat Lab in the twelve (12) months preceding the claim.
Practices agree to indemnify and hold harmless Exceat Lab from any claims, damages, liabilities, and expenses arising from their use of the Service, their failure to obtain necessary patient consents, or their breach of these Terms.
We may suspend or terminate access to the Service for any account that violates these Terms or for non-payment, with notice where reasonably practicable. Practices may cancel their subscription at any time in accordance with the cancellation process provided at signup.
These Terms are governed by and construed in accordance with the laws applicable to Exceat Lab's principal place of business, without regard to conflict-of-law principles, unless otherwise required by mandatory local consumer protection law.
We may revise these Terms from time to time. Material changes will be reflected by updating the "Last updated" date above, and continued use of the Service after such changes constitutes acceptance of the revised Terms.
Questions about these Terms may be directed to Exceat Lab at [email protected] or by phone at +94 76 797 8818.
